Effective Fall 2026 Term
1. Purpose & Eligibility
The laptop loaner program provides temporary hardware access to Students, Faculty, and Staff whose primary computers are:
- Inoperable or undergoing repairs
- Physically unavailable (e.g., left at home)
- Temporarily unusable due to technical issues (e.g., dead battery/no charger)
Devices are configured and made available from the IT Helpdesk on the Glenside Campus. This program exists to ensure that temporary technology issues never become a barrier to student success.
Exclusions:
Adjunct Faculty: This program does not apply to Adjuncts. If you are a current Adjunct Faculty and need a laptop, please contact IT for the appropriate procurement process.
Long-term Use: Loaners are not intended to be permanent replacements for personal or department-issued devices.
Financial Hardship: If the inability to acquire a personal device is due to financial hardship, please use https://www.arcadia.edu/about-arcadia/offices-facilities-services/student-affairs/student-emergency-fund/ for long-term assistance programs.
2. Loan Duration & Renewals
Standard Term: Devices may be borrowed at no cost for a maximum of 30 days.
Renewals: Extensions are permitted; however, the device must be returned to the IT Help Desk every 30 days for an equipment health check and exchanged for a different unit. This ensures all loaner inventory remains updated and maintained.
3. Fees
Late Return: $25.00 per business day until the device is returned
Missing/Damaged Power Cable: $50.00 fee
Damaged Device: $200.00 fee for units returned "Broken" and unfit for re-issue. Normal "wear and tear" is excluded "Broken": A device is considered broken if it returns with a cracked screen, liquid damage, significant casing damage, or internal hardware failure resulting from misuse/drops.
4. User Responsibilities

Data Security: Users are responsible for backing up their own data to cloud storage (e.g., OneDrive, Google Drive). IT is not responsible for lost data, and all loaner devices are wiped immediately upon return.
Security: Do not leave loaner laptops unattended in public spaces.
