To set up the Salesforce/Gmail Connector:
- You will need to know your Salesforce password or create a new one, have the Google Authenticator app on your phone for Multi-Factor Authentication (MFA) and then add the Chrome extension to your Gmail. This document goes through all of those steps.

- If you know your Salesforce password, you can skip STEP 1
- If you already have the Google Authenticator app on your phone, you can skip STEP 3

- Even though you are being prompted to set up a Salesforce password for this purpose, you will continue to use Portalguard to log in.
- This is a one-time setup, you will not need to do this every time you use the extension.
- You do need to be using Chrome to go through this process and to use the extension.
STEP 1: Creating your Salesforce Password and Logging in
Skip this step if you already know your Salesforce password.
If you’ve already received an email from Salesforce - click on the link
If you haven’t received this email or need a new link, reach out to the helpdesk. The link expires after 24 hours.
Follow the prompts to “reset” aka set up your password

- Make sure to remember your password!
- You will also be prompted to set up security questions
- You should then be logged into Salesforce.
STEP 2: Download the Salesforce/Gmail Connector
This is a Google extension that we will download. It is a retractable panel that will sit on the right hand side of your Gmail. **Must be using Chrome to use this extension***
- Go to this link: https://chromewebstore.google.com/detail/salesforce/jjghhkepijgakdammjldcbnjehfkfmha
- You should be on a web page that looks like this. Click on the button that says “Add to Chrome”
- If you receive this error message, clear your cache! (all of it)
How? Go to 3 dots on your browser - choose settings - in the search bar, type cache - click on delete browsing data - choose “All time” and choose clear data. This will sign you out of everything, so you’ll have to log back in to PortalGuard. Now go back to and add the Chrome extension.
- Now, open your Gmail and you should see this right hand panel. You might need to refresh the web page!
STEP 3: Download the Google Authenticator to use Multi-factor Authentication (MFA)
In this step, we will be downloading the Google Authenticator app onto our phone (if we don’t already have it) and using it as a one-time verification method.
MFA is a secondary level of verifying your account credentials.
This is set up as a back up way to log in to Salesforce if not using Portalguard for any reason. This is also necessary when logging into Salesforce from the Salesforce/Gmail Connector for the first time (next step).
On your phone:
- Verify that we have the Google Authenticator App
- If you do not have it, you can install it from the App Store (iPhone) or Google Play (Android)
STEP 4: Connect Your Salesforce & Gmail Account
1. Now, back on your computer: from the Salesforce Panel in Gmail, click “Log in”
Enter your credentials and click “Log in” (you can choose “remember me” if you like)
Note: your username is your Arcadia email address
- The “Connect Salesforce Authenticator” screen displays by default. Click “Choose Another Verification Method” at the bottom.
- Select “Use Verification Codes from an Authenticator App”
- You should now see the “Connect an Authenticator App” screen
- On your mobile device, open the Google authenticator app and select the “+” to add a new account
- Use the Authenticator app to scan the QR code that’s displayed on your computer
- The Authenticator app is now connected to your Salesforce account. The app automatically starts generating time based one-time passcodes.
- You will get prompted to accept terms and conditions, and for “Lightning” to be granted access to Gmail (Lightning just means Salesforce). Please accept all prompts.

Now you should see a panel in your Gmail that looks like this:
Notes:- You can minimize this panel by clicking the arrow at the top right (so it’s not in your way!)
- If you ever get a sad face or a “session expired” notice with a red “X”, simply refresh the page and it should log you back in.
