This is a reminder that beginning Monday, March 16th we will be making changes to the default One-time Passcode (OTP) delivery methods available to Staff and Faculty.
Staff and Faculty will be required to use an authenticator application (such as Google Authenticator) as the primary method for multifactor authentication. As part of this change, the use of personal email addresses to receive OTPs will be removed.
The cutover is broken into two parts: Staff will begin migration on Monday, March 16th and Faculty will begin Monday, March 23rd. We will be migrating a subset of departments at a time and expect to have each group complete at the end of their respective week.
It is important to know how you will be impacted by this change. Please review the scenarios below and identify which relates to you.
Scenario One: You do not have a mobile authenticator linked in your account.
If this is the case, all you need to do is follow the instructions to set up a mobile authenticator, found in the knowledgebase article linked below.
Scenario Two: You previously set up a mobile authenticator on your account, but use email as your default one-time passcode delivery method.
If this is the case, there is the chance that the mobile authentication record is stale and you risk the chance of being locked out of your PortalGuard account. You can confirm this by:
Sign in to your PortalGuard account
Click your username in the top right corner
Choose ‘Edit Profile’
Click ‘Mobile Authenticator’ and identify whether there is a mobile device registered.
Click ‘Multi-Factor Delivery Methods’
If “Email is listed under ‘Method’ AND you have a mobile device registered: contact the Help Desk.
Scenario Three: You already have a mobile authenticator set up and use it as your OTP delivery method
If this is you, you will not be impacted when we make changes over the next two weeks!
If you do not have a smartphone, you can use a Yubikey (version 5 or later). We will be sharing instructions on how to set up a Yubikey to help get you started.
